Send a quote from chat

A quote stuck in a chat window doesn't win work. Freelancers and small firms need to price a job from their own price list, send a clean PDF and turn it into an invoice when the client says yes. Here's how.

Yes, with a quote server connected. On its own, Claude drafts quote text but can't store prices or quote states. The Quotes and Catalogue servers price lines from your list, number the quote, write a PDF, and turn an accepted quote into an invoice. Start on the free tier.

Without a tool, and with the tool

Without a tool

Claude can draft quote wording, total the lines and add VAT. It doesn't know your current prices unless you paste them every time, it can't track which quotes are open, expired or accepted, and it can't hand an accepted quote to your invoicing.

With Quotes and Catalogue

Quotes stores each quote with a number, validity date and state, and writes an A4 PDF or a plain-text version for email. Catalogue keeps your SKUs and hourly rates with dates, so lines resolve to the price in force. quote_accept turns an accepted quote into an invoice in the Invoice server.

Common mistakes with this job

  • Quoting from memory and using last year's prices.
  • No expiry date, so a client accepts an old price months later.
  • Retyping an accepted quote as an invoice and making a typo in the amount.

Questions

Can I do this in Claude?
Yes, with a quote server connected. On its own, Claude drafts quote text but can't store prices or quote states. The Quotes and Catalogue servers price lines from your list, number the quote, write a PDF, and turn an accepted quote into an invoice. Start on the free tier.
What happens when a client accepts?
quote_accept marks the quote accepted and creates the invoice in the Invoice server store when it's present, or returns invoice-ready lines. The numbers are copied, not recomputed.
Does a closed quote count toward the free limit?
No. The limit is 5 open quotes. Accepted, declined and expired quotes don't hold a slot, and deleting an unsent draft gives its slot back.
Can I get a PDF on the free tier?
No. Free gives you the email-ready text version, and the A4 PDF is Pro.
